Terms of Service

Now for the boring Bit, (but please take time to familiarise yourself with the terms and conditions below.)

Booking Terms

All bookings are taken on the understanding that the customer has read and accepted all terms and conditions stated.

Ophelia Events will not accept any responsibility for the hirer not thoroughly reading and understanding all terms and conditions.

A £50 Save the Date deposit will provisionally secure your date until any further communications.

Ophelia Events will continue to take enquires for all dates until Save the Date deposit is received. These are then non-refundable.

The booking invoice is a binding contract between Ophelia Events and the hirer, and does not require a signature to confirm this. The transfer of monies, acts as the hirers signature and acceptance. Non signature is not sufficient to cancel this agreement.

Any questions regarding any of the terms, must be reported to Ophelia Events within 28 days of the booking date.

Everything remains the sole property of Ophelia Events at all times.

All items are for HIRE only unless otherwise stated.

Any changes to the invoice after booking can only be made with the discretion of Ophelia Events, subject to availability.

The hirer is solely responsible for all hired goods for the duration of the hire period and is fully responsible for any injury, death or damage to any persons or property.

Ophelia Events cannot be held responsible for any injuries or death that occur during the duration of the hire period.

Payment

A £50 Save the Date deposit will  secure your date

The remaining balance is due 8 weeks prior to the event. Failure to pay the final instalment on time will result in the booking being cancelled.

All payments to be made via bank transfer. Paypal is only accepted at the discretion of Ophelia Events.

Charges will be applied to any property hired that is damaged or lost. Full list of charges are available on request.

Payment of the save the date deposit is the hirers acceptance and understanding of all terms.

The set up fee is £150 along with travel which is charged at 50p per mile, each way. This includes travel (there and back) from your venue for set up, and (there and back) from your venue for collection. We have a 10 mile each way allowance for free, anything over this will be charged at the above rate.

A one off charge of £50 is added for any venue where a room turnaround is needed, or if you would like us to stay and repurpose props from ceremony to wedding breakfast.

Payment Plans

A £50 Save the Date deposit will secure your date. This is non-refundable and non-transferable.

The remaining balance is then split into equal monthly deposit payments, starting on a date agreed by yourself and Ophelia Events, finishing 2 months prior to the event. Any missed or late payments will incur a £25 admin charge. All monies are non refundable.

Failure to pay the final instalment on time will result in the booking being cancelled.

All payments to be made via bank transfer and are non refundable.

Charges will be applied to any property hired that is damaged or lost. Full list of charges are available on request.

Cancellation

In the event of the a cancellation, all monies paid will be lost and remain the property of Ophelia Events, regardless of how early the booking is cancelled.

Ophelia Events will not incur any liability due to the contract not being fulfilled due to force manjeure - such as extreme weather, flood, fire or any other acts of god. Every effort will be made in order to fulfil the contract.

Hire Items

Everything stated on the booking invoice will be provided at the event. It is the hirers responsibility to check this, and Ophelia Events will not be held responsible if something is missing from the invoice without the hirer informing us. Ophelia Events cannot be held responsible if items don’t match other hire items form external suppliers, or the overall look is not what the hirer had envisaged.

Ophelia Events shall be granted full artistic licence during styling, set up and installation on the day. Ophelia Events will make every decision in the best interest of the hirer. This may include altering colours, positioning, props and styling themes slightly in order to achieve a greater desired effect.

Ophelia Events will not be held responsible for any loss, injury or death as a result of open flame. The hirer should ensure that candles are permitted and should take every precaution that these are used and maintained safely after Ophelia Events have left the venue.

The hirer is solely responsible for all hired goods for the duration of the hire period and is fully responsible for any injury, death or damage to any persons or property. Any missing or damaged items upon collection will incur a charge and will be invoiced at the cost of the hirer.

Any collections that are required to take place after 11pm will incur an additional £100 charge, in addition to the travel charge.

A one off set up /styling serve charge of £150 will be added to each booking.

Ophelia Events is permitted to increase / decrease pricing for new bookings or any additional travel, collection or hire items added on to a current booking.

Package prices currently advertised are for new bookings only. Ophelia Events will not be held liable nor make any price adjustments should these prices differ the ones agreed at the time of booking. The transfer of monies is the hirers acceptance and understanding of all terms and pricing at the time of booking.

Ophelia Events cannot be held responsible for any injuries or death that occur during the duration of the hire period.

Any items significantly damaged that need to claimed against an insurance policy, the hirer is fully responsible for all excesses and any additional charges that result in an insurance claim.

All linen in washed in detergent and Ophelia Events will not be held responsible for any allergic reactions due to this. All linens are ironed, however slight creasing may occur through transportation. This is not a matter for complaint.

Colours may vary from that of the picture, due to availability, lighting, camera etc. Colours will be sourced as close to the colour pictured as possible.

Ophelia Events may use photography taken during the hire period, and is eligible to do so. We will not share any images before the event has taken place.

Insurance

Ophelia Events has full Public Liability insurance up to the sum of £1,000,000 and insurance certificate is available on request.

All electronic equipment is PAT tested according to legal requirements and a certificate is available on request.

Damages Deposit

The 'Hirer' is any person or company who hires or has agreed to hire Goods from Ophelia Events. The hirer is who signs the agreement. We take pride in ensuring that your props look of the highest standard possible on your special day, which is why we ask that nothing is to be moved by the venue or any persons unless agreed otherwise. Please do NOT leave any items in inclement weather due to risk of damage unless agreed otherwise. You will be charged for damages, repair or replacement if any items are returned to us in an unusable condition

Hire deposits will be determined on final confirmation of your order. Hire orders over £250 will require a £200 damage deposit. Some items are rare and will attract a higher damage deposit, which will be advised in the quote. The damage deposit amount will be a portion of the full replacement cost of the quote, if an item needs replacing the hirer will be sent a full invoice after return and inspection of the items. By accepting the quote, you agree to the hire Terms and Conditions, and agree to pay for any damaged/lost etc items. If all hired items are returned in the condition they were supplied, your deposit will be returned. On return of items, after inspection and assessment, if any costs or charges apply, a further invoice will be sent, which is payable on receipt.

You are responsible for requesting the return of your damages deposit from Ophelia Events. This request must be made within 30 days of the wedding date. We will need your bank details to return the deposit. Failure to request the return of the deposit will result in forfeiture of the deposit. Ophelia Events is not liable for initiating or reminding the hirer about this process.

Cash is accepted for damage deposits.

Photos will be taken where applicable.
